Privacy Policy (POPIA)

NextGen Placements processes personal information in terms of the Protection of Personal Information Act 4 of 2013 ("POPIA"). We collect only what we need, use it only for internship placement and related purposes, and we never sell your information.

1. Who we are

NextGen Placements ("NextGen", "we", "us") is a South African intern placement agency and host employer facilitator. We are the "responsible party" as defined in POPIA for the personal information described in this policy. 2. Information we collect

  • Student and intern applicants: full name, email address, phone number, province and municipality, qualification, availability, driver's licence status, disability status (only if you choose to provide it), CV, and a copy of your ID.
  • Employer and partner contacts: contact person name, company name, work email, phone number, industry, and internship needs.
  • Website visitors: basic technical information such as browser type and pages visited, where analytics are enabled.

3. Why we process your information

  • To screen and match interns with host employers.
  • To arrange placements, agreements and onboarding documentation.
  • To monitor placements and provide ongoing support.
  • To communicate with you about your application or enquiry.
  • To comply with legal and regulatory obligations.
  • To improve our services and website.

4. Legal grounds for processing

  • Your consent (section 11(1)(a) of POPIA).
  • Performance of a contract or placement agreement.
  • Our legitimate interest in operating a placement business, where it does not override your rights.
  • Compliance with a legal obligation.

5. Who we share it with

  • Prospective host employers, only after you have approved the introduction.
  • Service providers who act as our 'operators' (for example hosting, storage and email providers), under written agreements.
  • Authorities where the law requires disclosure.

We do not sell, rent or trade personal information.

6. Cross-border transfers

Some of our service providers (such as cloud hosting) may be located outside South Africa. Where personal information is transferred abroad, we rely on section 72 of POPIA: the recipient is subject to comparable safeguards, the transfer is necessary for the performance of the placement, or you have consented to it.

7. How long we keep it

Unsuccessful applications: 24 months, so we can consider you for future opportunities, unless you ask us to delete them sooner. Concluded placements: as long as required by the placement agreement and by law (for example labour and tax legislation). Employer enquiries: 3 years. Thereafter records are securely deleted or anonymised.

8. Security

  • Encryption in transit (HTTPS/TLS).
  • Private, access-controlled storage for documents such as ID copies.
  • Access limited to authorised NextGen staff.
  • Confidentiality undertakings from anyone who handles your information.

No method of transmission is 100% secure, but we apply reasonable technical and organisational measures as required by section 19 of POPIA.

9. Your rights

  • Ask what personal information we hold about you (access).
  • Correct or update it.
  • Have it deleted where there is no longer a lawful reason to keep it.
  • Object to, or restrict, certain processing.
  • Withdraw consent at any time, without affecting processing done before withdrawal.

10. Cookies

Our website uses only essential cookies needed for it to work. If we introduce analytics or marketing cookies in the future, we will ask for your consent first.

11. Children

Our services are intended for students and graduates aged 18 and older. Applicants under the age 18, are not allowed.

12. Changes to this policy

We may update this policy from time to time. The latest version will always be published on this page with a new effective date.
